Simple POS Offline is a mobile point-of-sale application developed for small businesses, retail stores, cafés, market vendors, and independent sellers who need a simple and reliable way to manage daily sales.

The application is designed with an offline-first approach, allowing users to record transactions, manage products, and review sales history without requiring a continuous internet connection. Its interface focuses on speed and simplicity, making it suitable for business owners and employees with different levels of technical experience.

Project Objectives

The main objectives of Simple POS Offline are to:

  • Simplify the sales and checkout process.

  • Help small businesses manage products and categories.

  • Record transactions accurately.

  • Provide clear daily and periodic sales reports.

  • Support multiple payment methods.

  • Allow business data to be backed up and restored.

  • Provide an affordable POS solution without requiring expensive equipment or a permanent internet connection.

Main Features

1. Sales and Checkout

Users can select products, adjust quantities, calculate the total purchase amount, and complete a transaction through a streamlined checkout process.

For cash transactions, the application calculates the customer’s change automatically. Non-cash payment methods can also be selected to ensure that every transaction is recorded according to the actual payment type.

2. Product Management

The application provides complete product management capabilities, including:

  • Adding new products.

  • Editing existing product information.

  • Deleting products.

  • Setting product prices.

  • Organizing products by category.

  • Searching for products.

  • Scanning product barcodes.

  • Managing product availability.

These features allow businesses to maintain an organized and easy-to-access product catalogue.

3. Category Management

Products can be grouped into categories to make the checkout process faster and more organized. Users can create, update, and remove categories according to their business requirements.

4. Barcode Support

Barcode scanning is included to speed up product selection during checkout. Users can scan a registered barcode instead of searching for a product manually.

This feature is particularly useful for retail businesses with a large number of products.

5. Transaction History

Every completed sale is stored in the transaction history. Users can review past transactions and filter records by date.

Transaction details include:

  • Transaction date.

  • Transaction time.

  • Month and year.

  • Purchased products.

  • Product quantities.

  • Total transaction value.

  • Payment method.

  • Cash received.

  • Change returned.

A complete date and time format is used so transactions can be identified and audited more easily.

6. Reports and Data Export

7. Business Data Backup

The backup and restore feature helps users protect their business data. A backup can be created and stored separately, allowing information to be restored when changing devices or reinstalling the application.

8. Application Security

A PIN security feature protects access to the application and sensitive business information. This is useful when the same device is used by multiple employees or when the owner wants to restrict access to transaction records and settings.

9. Language Support

The application is prepared to support multiple languages, including:

  • Indonesian.

  • Malay.

  • Japanese.

The language can be changed from the application settings to make the system more accessible to users in different markets.

10. Currency and Number Formatting

The initial application configuration uses USD as the default currency. Monetary values are displayed using clear number formatting to make large amounts easier to read.

The application structure can be expanded to support additional currencies and regional formatting conventions in future releases.

User Workflow

The primary sales workflow is designed to be quick and straightforward:

  1. The user opens the sales page.

  2. Products are selected manually or through barcode scanning.

  3. Product quantities are adjusted.

  4. The application calculates the total automatically.

  5. The user selects cash or another payment method.

  6. For cash payments, the amount received is entered and the change is calculated.

  7. The transaction is completed and saved.

  8. The transaction can be reviewed from the history page or included in an exported report.

Design and User Experience

The interface is designed to remain clean, responsive, and easy to understand. Important actions such as adding products, opening the cart, completing a payment, and reviewing transactions are placed in easily accessible areas.

The design also considers different Android screen sizes to reduce layout overflow and maintain consistent navigation across devices.

Technical Development

Simple POS Offline is developed using Flutter, allowing the application to maintain a consistent interface and performance across supported Android devices.

The development includes:

  • Offline business-data storage.

  • Product and category data management.

  • Barcode scanner integration.

  • PDF and Excel report generation.

  • Transaction filtering by date.

  • Application preference storage.

  • PIN-based security.

Monetization Model

The application uses a freemium business model.

The free version may display:

Users can subscribe to the premium version to remove advertisements and access an uninterrupted experience. Purchase restoration is also prepared so premium access can be recovered when users reinstall the application or move to another compatible device.

Development Stages

Phase 1 — Application Foundation

The first phase established the Flutter project structure, navigation, local data handling, application theme, and main dashboard.

Phase 2 — POS Functionality

The second phase focused on product management, categories, barcode scanning, cart calculations, cash payments, non-cash payments, and automatic change calculation.

Phase 3 — Transaction Management

Transaction history, date filtering, complete timestamps, transaction details, and sales reporting were added during this phase.

Phase 4 — Business Tools

PDF export, Excel export, data backup, data restoration, application PIN, and multilingual support were introduced to improve business usability.

Phase 5 — Monetization and Release Preparation

Google AdMob, premium subscriptions, Firebase configuration, Google Play Console preparation, and Android App Bundle testing were added as part of the commercial release process.

Current Development Status

The core POS workflow and supporting business features have been designed and developed. Current release work focuses on testing purchase flows, advertising behaviour, data safety declarations, application compatibility, and Google Play upgrade requirements.

One important release consideration is ensuring that every new Android App Bundle remains compatible with users who installed an earlier version. Version codes, signing configuration, package identity, and supported device settings must remain consistent before production rollout.

Future Development Plan

Future improvements may include:

  • Inventory and stock movement tracking.

  • Low-stock notifications.

  • Customer and supplier management.

  • Purchase and expense recording.

  • Receipt printing through Bluetooth thermal printers.

  • Custom receipt templates.

  • Additional currencies and regional formats.

  • Employee accounts and access permissions.

  • Sales charts and business analytics.

  • Cloud synchronization between multiple devices.

  • Automatic scheduled backups.

  • Discount, tax, and promotion management.

  • Product import from Excel.

  • Multi-store management.

  • Optional online dashboard for business owners.

Project Outcome

Simple POS Offline provides small businesses with an accessible and practical digital cashier system. By combining offline operation, barcode support, transaction reporting, multilingual settings, backup tools, and flexible payment recording, the application helps business owners manage sales more efficiently without relying on complex or expensive POS infrastructure.
